Are you building a cyber safe culture in your business?

Small businesses face cyber security threats every day, yet many owners don’t believe their business could be a target.

Just as we physically protect ourselves by locking up our businesses and homes at night, small businesses need to understand how and why they should lock their digital doors.

This October, Cyber Security Awareness Month is an opportunity to take action and protect yourself and your business online. There are plenty of ways to get involved, from accessing free resources to joining a special webinar on scam awareness for small to medium businesses on Tuesday 22 October, delivered by IDCARE.

To help you get started, we’ve outlined five simple actions you can take to reduce the risk and impact of cyber threats on your business.

Updates are one of the strongest defences in your security toolkit. Installing regular updates will keep your devices secure and make it harder for cybercriminals to access them.

To ensure your software is up to date, make sure that you:

  • Switch on automatic updates where possible
  • Install updates as soon as you’re prompted

Strong passwords that are long and unique make it harder for authorised people to break into your online accounts. Using a passphrase (4 or more random words) make it longer than a standard password and harder to guess.

When creating passphrases:

  • Use long and memorable passphrases, rather than short passwords.
  • Never reuse the same passphrase across multiple accounts.

Multi-factor authentication (MFA) adds an extra layer of protection by asking you two or more ways to prove that an authorised person is logging in. This makes it harder for others to access your account and information. To stay more secure:

  • Turn on MFA for your online banking and email accounts.
  • Use an authenticator app or security key for stronger protection.

Regular backups ensure you can recover quickly if your data is lost or stolen. Encourage your team to stay alert to suspicious emails, links and requests as part of daily business practices.

Outdated technology can be an open door for cybercriminals as it no longer receives the updates and patches needed to stay secure. Investing in modern systems is far less costly than the impact of a cyber attack.

If you’re still using legacy tech:

  • Plan to replace unsupported hardware or software as soon as possible.
  • While replacement is underway, take steps like network segmentation and monitoring to reduce risk.

Case study: Vili's Family Bakery

On 15 February 2024, Vili's, an iconic South Australian bakery, experienced a serious cyber attack. Although the business had started planning a system upgrade, the attack struck before changes could be put in place.

The impact was immediate and severe. The business lost 56 years of data, including invoices, creditors and debtors lists and other critical records. Staff suddenly had to return to paper-based processes using carbon copy invoice books to keep operations moving. For three months, Vili's could not issue invoices, creating enormous challenges for the business.

The recovery took more than 18 months, involving a complete rebuild of systems, processes and policies. While the experience was confronting, it highlighted important lessons: how quickly an attack can happen, the role of staff awareness and the need to think carefully about what information is necessary to keep.
